  1. When you sign up for our Mail Scanning Service, all the mail from every organization where you’ve listed your business address comes to us.
  2. Then, our experienced mail staff scan your documents the same day and upload these scans to your secure online account. All obvious junk mail is filtered out and shredded, not scanned to your account.
  3. When a scan is uploaded, you receive a notification alerting you that you have new mail. From there, you can log in to your account to see all of your scans.

That’s it! There’s no searching through drawers for a specific envelope or stacks of letters taking up space on your desk—just all your mail, organized and easy to access.

Can I get Mail Scanning if I don’t have a business?

Yes! Even though the majority of our clients are business owners, you can also order Mail Scanning for personal mail. Simply check “Individual” instead of “Business” at the top of the Mail Scanning order form.

What does “unique suite number” mean?

When we assign your business a unique suite number, that differentiates your business from every other business that uses our Mail Scanning Service. It’s similar to your business having its own physical location in an office that it shares with other businesses.

What happens if I reach my mail scan limit?

If you end up getting more mail than you expected and exceed your mail scan limit, we’ll continue to receive and scan your mail so that you don’t lose anything important. However, to view your additional scans, you will need to pay a small fee to view each document or upgrade to Premium Mail Scanning or Virtual Office.

Can I get a piece of mail physically forwarded to me?

Yes! If you need a mail document physically sent to you, such as a check, you can request physical forwarding in your account for a small fee.

What is a CMRA (Commercial Mail Receiving Agency)?

Commercial Mail Receiving Agency provides virtual address and mail forwarding services for clients. A CMRA address is a real physical address, not a P.O. box.

Texas Virtual Office is registered with the USPS as a Texas CMRA. This allows us to legitimately provide Mail Scanning services to clients. After you sign up for Mail Scanning or Virtual Office, you’ll need to complete PS Form 1583 in your client account. Form 1583 is a USPS requirement, which verifies the identity of the customer and confirms that the CMRA has permission to accept mail on the customer’s behalf.
