Benefits of Using a Virtual Office

Just a few ways you can benefit from a virtual office

Privacy

If you run your business from home but don’t want to give out your home address, a virtual office is an affordable way to get a real physical business address you can use instead.

It’s especially important to think about privacy since some business forms, like the Certificate of Formation and the Public Information Report, go on the public record. That means the names and addresses on these forms will be easy to find with a quick online search. A virtual office address can be used for your members, managers, or directors on state forms.

Our Virtual Office service also includes VoIP phone service with a local business phone number. So you won’t need to give your personal phone number to clients and vendors.

Professionalism

In addition to being a privacy concern, using a residential address for business doesn’t make you look very professional. Potential customers might think a business using a home address is an amateur operation, or even a scam. Our virtual address is a tied to a real commercial building. So when people look up your business address, they’ll see a professional office building, not your house or apartment.

Convenience

Using a virtual office is like having a personal secretary to handle your business mail. A mail sorting team will filter out your junk mail and only send you mail that’s worth your attention. Having a virtual office also makes it easy to keep your business and personal mail separate.

A lot of business mail is time-sensitive, but with a virtual office, you don’t have to be glued to your mailbox. Instead, a virtual office lets you instantly view your mail in a secure online account, anywhere you have internet access.

Virtual Office Features

Here’s what you get for just $15 a month

Real Austin address with a unique suite number

As a Virtual Office client, you get a real commercial business address in the real office building where our employees receive and scan your mail. You’ll also get an individual suite number, making your address unique.

Since your virtual address is an actual physical address, you can use it on forms in places where a P.O. box is not allowed, such as on your EIN filing or business tax returns, or when opening a bank account.

Unlimited same-day mail scanning

Virtual Office includes UNLIMITED scans of your mail documents, with no per-document fees. The day your mail arrives at our office, our employees open, scan, and upload it to your online account. You’ll receive an instant notification by email that you have a new mail item to view.

If you need a mail document physically forwarded to you, such as a check, you can request this with one click inside your client account for a small fee + postage.

Secure online account for viewing mail

As our client, you’ll have a private online account where you can safely view, store, and organize all of your business mail. We take security very seriously at Texas Virtual Office, so our client accounts are hosted on private servers that we own.

We’ll send you an email notification when you have new mail to view in your account, but we NEVER send your documents directly to your email, as that’s a major security risk.

Junk mail filtering

One thing no one tells you about starting a business is how much junk mail you’ll receive once your address is in a business database. By using a virtual business address, you can avoid this annoyance. Our employees filter out obvious junk mail and shred it, so you can focus on the important stuff.

Phone service

Virtual Office service includes VoIP phone service and a local business phone number of your choice. Rather than give out your personal number to customers or spend extra money on a second phone and wireless plan, simply download our free phone service app and start communicating with customers on your existing phone, using a private business phone number.

Phone service includes all the features you need for a business phone line, including a local area code, call forwarding to any US number, Visual Voicemail (transcribes voicemails to text), and outgoing caller ID displaying your business name.

Non-binding office lease

Some banks and payment processors won’t let you open a business account unless you have a commercial lease. That’s why we provide a real, month-to-month office lease. You can show this to your bank to prove you have a business presence in Texas, but you aren’t locked into a long-term contract as with a traditional lease.

Conference room rental options

The beauty of a virtual office is that you can run your business from anywhere, even a beach in the Bahamas or a ski lodge in the Alps. But there may be times when you want to host an in-person meeting with your business partners or investors, right here in the beautiful city of Austin.

When that happens, send us a call or email to see about renting a conference room in our building. Our conference rooms are equipped with Wi-fi, wall-mounted TVs, and white boards with dry-erase markers. Everything you need to have a productive meeting.

Who Can Use a Virtual Office?

Almost any business can benefit from using a virtual office, but especially:

  • Online businesses. If your business is entirely online, a virtual office address gives you a real, professional business address to use instead of your residential address.
  • Businesses without a fixed location. Businesses that are always on the move, such as food trucks and traveling entertainers, can use a virtual office as a home base so they can always get their mail.
  • Businesses that want to establish a physical presence in Texas. A virtual office helps build a professional business presence in Texas with an office lease and a local phone number.
  • Digital nomads. With a virtual office, you can run your business from anywhere and still read your mail digitally as soon as it arrives.

Using a virtual office isn’t just for businesses. Individuals also can take advantage of virtual office, such as:

People going on extended vacations. Instead of asking a friend or neighbor to collect your mail, have it sent to a virtual office with mail scanning. That way, you won’t lose any mail and you’ll be able to view your mail while you’re out of town.

People who want help staying organized. Never worry about losing important documents like invoices and contracts. They’ll all be saved in your online account when you need them.
